
Professional and Continuing Education (PACE) is seeking expressions of interest for administration assistants to join our front of house team.
The Division of Academic and Student Engagement (DASE) provides leadership to achieve the University’s strategic goals in relation to fostering and creating new knowledge and skills, ensuring students are appropriately prepared for the workforce and beyond. The Education Transformation portfolio within DASE provides the conduit for the University to design and develop curriculum that is both a social enabler but also a determinant of human capital. To enhance the University’s executive and continuous professional education development offering, the PACE unit has been established within DASE to develop and deliver the PACE product portfolio.
The Service Delivery Officer is responsible for providing efficient and effective front of house, course delivery and general administrative services for all professional education programs, events and functions within PACE ensuring that service levels are of an exemplary standard.
Receiving routine supervision, the Service Delivery Officer will assist the broader Business Services team in the provision of general administration tasks and activities that support the overall function of PACE services, internal staff, facilitators, consultants and customers.
Key Responsibilities
• Provide program administrative support for a broad range of PACE products including photocopying, collating and binding of course and training materials.
• Provide support in the delivery of courses and event management, logistic services and requirements including room/venue bookings, catering, room set-up and pack down.
• Provide general administrative support.
• Meet and greet visitors from a range of cultural and linguistically diverse and professional backgrounds to PACE in a professional and friendly manner, and respond to all client enquiries to PACE standards.
• Act as the primary point of contact for customer enquiries and concerns. Respond to and effectively triage customer enquiries in a timely manner to provide information regarding PACE program offerings.
• Maintain a basic current working knowledge of PACE programs and services.
• Answer incoming and outgoing correspondence including emails to the PACE inbox, enquiries received via CRM and processing internal mail.
• Assist with facility-related tasks, including addressing minor issues concerning maintenance, security and cleaning as required and ensuring jobs are completed in a timely manner.
• Ensure resource rooms and kitchens are sufficiently stocked on a weekly basis and ensure that stock levels are recorded and monitored.
• Liaise with IT staff to ensure that technical requirements for on-site course delivery, such as video conferencing and learning management systems, are in place and functioning properly.
• Troubleshoot technical issues that arise during course delivery.
Available work hours vary and are planned three to four weeks in advance. All necessary training will be provided.
